One system instead of a patchwork
Most schools run on a patchwork: admissions in a spreadsheet, fees in a separate package, paper registers, a payroll bureau and a shared drive full of policies. Every hand-off is a place where a record is typed twice, a payment goes unmatched or a sensitive note ends up in the wrong folder. Alumnetix brings the whole life of a learner β from the first enquiry to the alumni record β into one application, together with the staff, the money and the buildings that support them.
Licensed for the institution you run
A nursery does not need a boarding module, and a university does not need early-years observations. Alumnetix is licensed per institution type β Nursery and Primary, Secondary, College, Training and Language Institute or University β and the licence switches on exactly the features that apply. A school group can combine several types in one licence. Within that, every member of staff sees only the screens their role permits.
Built for data about children
A school holds some of the most sensitive personal data there is, so security is part of the design rather than an extra. Access is denied by default and checked on every operation, with separate permissions for safeguarding, counselling, health records and payroll. Sign-in supports multi-factor authentication with any standard authenticator app, bank and identity numbers are encrypted in the database, backups are verified with restore tests, and every change lands in an append-only audit log whose hash chain proves that nothing has been altered.
Fees that reconcile
Fees are handled like a finance system, not a spreadsheet: versioned fee plans with instalments, concessions approved by a second person, a cashier desk with till sessions and numbered receipts, maker-checker refunds and daily reconciliation. Every invoice, receipt, refund and expense posts a balanced journal, so the fees ledger and the general ledger always agree.
Help on every screen
Press F1 anywhere and the user manual opens at the topic for that screen, with a searchable topic tree, printing and a guide to every module. A test installation can be filled with realistic demonstration data, so your staff can explore every module before a single real record is entered.
Every part of school life, in one place
From enquiry to enrolment
Enquiries with response timers, applications with review gates, offers with expiry and seat reservations, waiting lists, and one-step conversion into a student and an enrolment.
One record for every learner
Personal details, guardians and pickup permissions, documents with expiry tracking, enrolment history and holds β with duplicate detection and restricted fields masked by role.
Timetables, registers and results
Timetables with room, teacher and class clash detection, fast attendance registers, lesson plans, homework, moderated assessments, report cards, transcripts and certificates.
Fees that reconcile to the penny
Fee plans and instalments, concessions, invoices, a cashier desk with receipts, maker-checker refunds, daily reconciliation and a full ledger with budgets and expenses.
Staff, from vacancy to payslip
Recruitment, contracts, leave, staff attendance, timesheets and appraisals, with payroll runs, payslips and dual-control release.
The whole campus, not just the classroom
Rooms and assets, maintenance, transport, boarding, a canteen that blocks allergen conflicts, library, stores, purchasing, visitors, health, incidents, safeguarding and events.
Messages that respect consent
Announcements and notifications by email, SMS and in-app inbox, with an audience preview, consent checks, second-person approval for high-risk notices and a full delivery log.
Reports and compliance, built in
Dashboards of 28 defined measures and 23 ready-made reports, plus a consent register, rights requests with statutory clocks, retention schedules, legal holds and a breach register.

Why schools can trust it
- Access is denied by default, and every operation is checked against the roles of the person signed in and your licence, so nothing can be side-stepped from a screen
- Safeguarding, counselling, health and payroll records carry their own permissions, so sensitive files are open only to named staff
- Multi-factor sign-in with any standard authenticator app, a lock screen, and a fresh code required before high-risk actions such as releasing refunds or payroll
- Bank, tax and identity numbers are encrypted in the database with AES-256, under a key that neither the database nor a backup contains
- The audit log is append-only and hash-chained, so it can prove it has not been altered β and passwords, keys and card data never enter it
- Segregation of duties comes built in: the clerk who collects a payment cannot approve its refund, and the author of a fee plan cannot approve their own version

Frequently asked questions
Which kinds of institution is it for?
Nurseries and primary schools, secondary schools (including boarding schools), further-education and sixth-form colleges, training and language institutes, and universities. Your licence names your institution type and Alumnetix switches on the features that apply β a school group running both a primary and a secondary school can hold one licence that covers both.
What do we need to run it?
A Windows PC for each member of staff who uses it, and a database server on your own network. We install and configure it with you, and your data stays on your own network, under your control.
Does it help with UK GDPR?
Yes. It includes a consent register, subject access and other rights requests with the one-month statutory clock, a disclosure ledger, retention schedules, legal holds, a data inventory with DPIAs, and a security-incident register with the 72-hour breach clock. It also supports FERPA for institutions that follow US rules. The software supports your compliance but does not decide which laws apply to you, so configure it with your data protection officer.
How is it licensed?
Per institution, with a digitally signed licence key that sets your institution types, the number of staff who can be signed in at once and the expiry date. It comes in Standard, Professional and Enterprise editions. If a licence ever lapses, your data is never deleted β the features simply pause until a renewal key is entered.
Do you store card details?
Never. The cashier desk records cash, card, cheque and bank-transfer payments with a reference and issues a numbered receipt, but card details are never stored in the application.
Can you bring our existing records across?
Tell us what you use today on the demo form. Moving records across from spreadsheets or an older system is something we scope with you, and a test installation filled with demonstration data lets your staff practise before a single real record is entered.
